This Cancellation & Refund Policy explains the cancellation, modification, no-show, and refund conditions applicable to reservations made with Hotel Arham Inn.

Cancellation conditions may differ depending on the room type, rate plan, promotional offer, booking channel, payment method, and date of reservation.

Guests should always review the cancellation terms displayed during the booking process before completing a reservation.

1. Standard Cancellation Policy

Unless a different cancellation condition is specifically stated at the time of booking:

  • Guests may cancel their reservation by contacting Hotel Arham Inn using the contact details provided in their booking confirmation.
  • Cancellation requests should be made as early as possible.
  • Any applicable cancellation charges will depend on the rate plan and the time at which the cancellation is received.
  • Refunds, where applicable, will be processed after the cancellation has been verified.

2. Recommended Standard Rate Structure

For reservations booked under a Flexible/Standard Rate, unless the booking confirmation states otherwise:

Cancellation more than [72] hours/days before check-in

The reservation may be cancelled without a cancellation charge.

Any eligible advance payment will be refunded according to the applicable payment and processing conditions.

Cancellation within [72] hours/days before check-in

A cancellation fee of 50 PERCENTAGE may apply.

Any remaining eligible amount may be refunded.

Cancellation on the date of check-in

A cancellation fee of 100 PERCENTAGE may apply.

The remaining amount, if any, will be handled according to the applicable booking conditions.

3. Non-Refundable Reservations

Some promotional, discounted, advance-purchase, special, or non-refundable rates may be designated as Non-Refundable.

For such reservations:

  • The amount paid may not be refundable.

  • Changes to dates or room types may not be permitted.
  • No-show may result in the full booking amount being retained.

The applicable non-refundable condition will be displayed or communicated during the booking process.

4. Promotional and Special Rates

Special offers, promotional rates, packages, discounts, corporate rates, seasonal offers, and other special rates may have separate cancellation and refund conditions.

The conditions shown at the time of booking will apply to that reservation.

A promotional booking may have stricter cancellation conditions than a standard rate.

5. No-Show Policy

A “No-Show” occurs when a guest does not arrive at the hotel on the scheduled check-in date without cancelling the reservation in accordance with the applicable cancellation conditions.

In the event of a no-show:

  • The booking may be cancelled by the hotel.
  • The advance payment may be retained.
  • A no-show fee may apply.
  • Depending on the applicable rate, the guest may not be eligible for a refund.

For reservations involving multiple nights, the hotel may treat the entire reservation according to the applicable no-show conditions unless otherwise stated.

6. Early Departure

If a guest checks out before the originally confirmed departure date, the unused portion of the reservation is not automatically refundable.

Any refund for unused nights will depend on:

  • The applicable rate plan.
  • The booking channel.
  • The hotel’s cancellation terms.
  • The circumstances of the early departure.

Guests should contact the hotel as soon as possible if they need to shorten their stay.

7. Date Changes and Reservation Modifications

Requests to change:

  • Check-in date.
  • Check-out date.
  • Room type.
  • Number of guests.
  • Other booking details.

are subject to availability and the applicable booking conditions.

A change may result in:

  • A revised room rate.
  • Additional charges.
  • A cancellation fee.
  • Loss of promotional pricing.
  • A new reservation being required.

Changing a reservation does not automatically eliminate cancellation charges applicable to the original booking.

8. Hotel-Initiated Cancellation

In exceptional circumstances, Hotel Arham Inn may need to cancel a reservation.

If Hotel Arham Inn cancels a prepaid reservation and the guest is not responsible for the cancellation, the hotel will make reasonable efforts to:

  • Offer an alternative accommodation arrangement where available; or
  • Provide an appropriate refund of eligible amounts paid,

subject to applicable law and the circumstances of the cancellation.

9. Force Majeure and Exceptional Circumstances

If a reservation is affected by circumstances beyond the reasonable control of the hotel, such as:

  • Natural disasters.
  • Government restrictions.
  • Fire.
  • Flood.
  • War.
  • Civil unrest.
  • Major public emergencies.
  • Transportation disruptions.
  • Other extraordinary circumstances,

the hotel will assess the situation and may offer a date change, credit, alternative arrangement, or refund where reasonably appropriate and legally permitted.

Any such solution is subject to the circumstances and applicable booking conditions.

10. Refund Eligibility

A refund may be available where:

  • The reservation was cancelled within the applicable free-cancellation period.
  • The booking conditions specifically provide for a refund.
  • Hotel Arham Inn cancels the reservation and a refund is appropriate.
  • A refund is otherwise required by applicable law.

Refunds are not guaranteed for:

  • Non-refundable bookings.
  • No-shows.
  • Late cancellations.

  • Certain special packages.
  • Amounts already properly charged under the applicable booking terms.

11. Refund Processing

Approved refunds will generally be processed using the original payment method where reasonably possible.

The time taken for the refund to appear in the guest’s account may depend on:

  • Card issuer.
  • Payment method.
  • Weekends and public holidays.
  • Other financial institution processing procedures.

In such cases, guests may need to submit cancellation or refund requests directly through the platform.

Hotel Arham Inn will assist where reasonably possible but cannot guarantee refunds for bookings governed by another platform’s cancellation policy.

13. Direct Bookings

For reservations made directly through Hotel Arham Inn’s website, telephone, email, WhatsApp, or another hotel-authorized channel, the cancellation conditions communicated during the booking process will apply.

Guests should retain their booking confirmation for reference.

14. Refund for Duplicate or Incorrect Payments

If a guest is charged more than once for the same reservation due to a verified payment error, Hotel Arham Inn will review the transaction and, where appropriate, refund the duplicate amount.

The refund will generally be made through the original payment method.

15. Taxes and Charges

Where a refund is issued, the treatment of taxes, service charges, processing fees, or other charges may depend on whether those amounts are refundable under the applicable booking terms and applicable law.

Any non-refundable third-party payment processing charges will be handled according to the applicable payment provider’s terms, where legally permitted.
